Privacy Policy

This Privacy Policy explains how Hailrides Ltd ("Hail", "we", "us") collects and uses your personal data when you use the Hail rider and driver apps, and your rights under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
Hail is the data controller for the personal data described here. You can reach us about privacy at support@hailrides.co.uk.
1. Who we are
The data controller is Hailrides Ltd, a company registered in England and Wales under company number 17342746. For any data-protection question or request, contact us at support@hailrides.co.uk.
2. The data we collect
Account details: your name, email address and phone number.
Login data: we sign you in with a one-time code (OTP) sent to your email; we do not store a password.
Location data: your precise location during a trip, used to arrange pickup, show the trip on the map, and enable live trip sharing. Drivers also share location while online so nearby ride requests can be matched.
Trip data: your trip history, agreed fares, ratings and reviews, and in-app messages relating to a trip.
Emergency contact: if you choose to add one, the name and phone number of your trusted emergency contact.
Driver compliance data: for drivers, your PHV driver’s licence, vehicle licence and hire-and-reward insurance documents and their status.
Device and usage data: basic technical information needed to operate the app securely.
3. How we use your data and our lawful bases
To provide the Service — create your account, match riders and drivers, arrange trips and show them on the map. Lawful basis: performance of a contract.
To keep the Service safe — operate safety features (live trip sharing, SOS, emergency contact), investigate safety events, and prevent fraud and misuse. Lawful basis: legitimate interests and, where relevant, protecting your or another person’s vital interests.
To meet legal and licensing obligations — including verifying driver licensing and insurance and cooperating with the licensing authority. Lawful basis: legal obligation and performance of a contract.
To manage driver subscriptions — process the monthly subscription through our payment processor. Lawful basis: performance of a contract.
To communicate with you — send service messages such as one-time login codes and trip updates. Lawful basis: performance of a contract and legitimate interests.
Where we rely on consent (for example, saving an emergency contact), you can withdraw it at any time.
4. Payment data
Hail does not process or store payment for rides. Riders pay drivers directly in cash or via the driver’s own card machine, so Hail does not receive rider card details for fares.
Driver subscription payments are handled by a third-party payment processor. That processor collects the payment details needed to bill the subscription; we receive only limited information such as subscription status. The processor handles that data as its own controller under its privacy policy.
5. Location and safety data
We use precise location only in connection with a trip or, for drivers, while you are online. When you share a trip, we create a secure, read-only link that lets the person you choose see the live trip status until the trip ends, after which the link stops working.
If you activate SOS, we record the event (including your location at that time) so our operations team can respond and, where appropriate, so your emergency contact and the emergency services can be alerted.
6. Who we share data with
Riders and drivers: to arrange a trip we share limited details between you and the other party (such as first name, rating, vehicle details, and approximate or live location during the trip).
Our operations team: to run the Service and respond to safety events.
The licensing authority: where required for private hire regulation.
Service providers: hosting, our payment processor for subscriptions, and mapping providers, acting under contract on our instructions.
Legal and safety: the emergency services or authorities where necessary to comply with the law or protect people’s safety.
We do not sell your personal data.
7. How long we keep your data
We keep personal data only as long as needed for the purposes above and to meet legal, licensing, safety and accounting obligations, after which it is deleted or anonymised. Trip, safety and driver-compliance records may be kept longer where the law or the licensing authority requires.
8. Your rights
Under UK GDPR you have the right to: access your data; have it corrected (rectification); have it deleted (erasure); receive it in a portable format (portability); restrict or object to certain processing; and withdraw consent where we rely on it.
To exercise any of these rights, contact support@hailrides.co.uk. We will respond within the time limits set by law.
You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk, though we hope you will contact us first so we can help.
9. Security
We use appropriate technical and organisational measures to protect your data, including encrypted connections and access controls. No system is completely secure, but we work to keep your data safe and to notify you and the regulator of a serious breach where the law requires.
10. Children
Hail is for adults. The Service is not intended for anyone under 18 and we do not knowingly collect data from under-18s.
11. Changes to this policy
We may update this Privacy Policy from time to time. If we make a material change we will give reasonable notice through the app or by email.
